Parent name mismatch in passport documents: identify the issue first
Your Class 10 certificate names your father as “Ramesh Kumar”, while his identity document says “Ramesh Chandra Kumar”. The Passport Seva Kendra asks for clarification. Should you correct the certificate, obtain an affidavit or visit the RPO? Start by understanding the discrepancy and the written requirement, rather than immediately changing a document.
A parent name mismatch in passport documents can involve a spelling error, expanded initials, an actual name change or a parent identity issue. These situations need different evidence. A “One and the Same Person” affidavit does not guarantee acceptance in every case or same-day passport approval.
Spelling correction versus a real name change
| Difference | What to establish |
|---|---|
| Ramesh/Ramseh | A typing error and records supporting the correct spelling |
| R. Kumar/Ramesh Kumar | Documentary support for the expanded initial |
| Different middle name/surname | The record history and reason for the difference |
| Parent changed their name | Evidence of the actual change and applicable procedure |
| Biological/step/adoptive parent | Special family rules, rather than spelling alone |
These examples help identify the problem; they do not declare any discrepancy automatically acceptable. An added middle name may look minor but should not be described as a typo without supporting records. For transliteration differences, show both spellings and the original-language name.
List discrepancies in your own name or date of birth separately. Clarifying a parent’s name does not automatically resolve a DOB error. Compare the form, school records and any existing passport to identify where the incorrect entry appears.
What does the official Passport Manual provide?
The official Passport Manual, Chapter 3 paragraph 4.1(b), allows consideration of a clerical error in a parent’s name where documentary proof establishes the correct spelling. This chapter primarily concerns re-issue for existing passport holders; it is not an automatic approval condition for every fresh application.
If an issued passport contains an incorrect entry, check the correction/re-issue route. Never overwrite a passport page yourself. Where the parent genuinely changed their name, a statement that both names describe one person does not automatically remove the applicable name-change formalities.
Prepare a clear evidence packet
- ARN/file number, appointment receipt and available exit, hold or deficiency letter.
- The Class 10 certificate/marksheet and relevant school record containing the discrepancy.
- Genuine records supporting the parent’s correct name, such as an available passport or relevant identity document.
- Your birth certificate or relevant family/relationship record where applicable and available.
- Old and new records supporting a genuine name change, if one occurred.
- A one-page comparison listing each document, its spelling, issue date and the requested name.
This is a preparation list, not a universal mandatory checklist. The purpose is to explain identity and the discrepancy; acceptable evidence depends on the application category and authority’s requirement. A parent’s Aadhaar copy should not be treated as the final answer in every case. Carry originals and necessary self-attested copies according to the instructions.
If the requested spelling appears only in a recent document while older records differ, explain that history honestly. Do not change a correct school or identity record simply to create consistency elsewhere. Where a record is incorrect, consult the issuing authority’s correction procedure. Our marksheet name correction guide covers old educational records.

When is an affidavit or Gazette relevant?
A one-and-the-same-person affidavit can explain that different name forms refer to one individual. It does not automatically amend a school certificate, Aadhaar entry or passport register. Ask whether your file requires such a declaration, documentary correction or additional evidence, and who must make it. An applicant’s own affidavit is not necessarily sufficient for every discrepancy in a parent’s name.
A Notary, Executive Magistrate and Judicial Magistrate have distinct roles. Do not treat “a notarised affidavit from a first-class Magistrate” as one universal process. If an affidavit is requested, clarify its format, deponent, attestation and local execution requirements. Avoid arbitrary claims about compulsory stamp-paper values or Magistrate attestation.
A declaration should truthfully identify both spellings, the documents carrying them, the actual explanation and its purpose. Do not conceal a substantive identity change. An agent’s promise of a guaranteed accepted format is not an official instruction.
A Gazette notification may be relevant to a genuine name change. It is inaccurate to demand one for every spelling discrepancy or say it can never be needed. Use the current document list/Document Advisor for your category and the RPO’s clarification before incurring expenses.
Application on hold: PSK, RPO and grievance steps
- Identify the written deficiency. Does the notice require school correction, identity evidence or an explanation? Ask for clarification if unclear.
- Prepare the facts. Attach the comparison sheet, relevant originals and copies. Do not dismiss a requirement merely by calling the difference minor.
- Follow the revisit instructions. Use the PSK/RPO, appointment and time specified. Walk-in public hearings are not universally available.
- Submit a factual representation. Request assessment of the evidence or written clarification of remaining formalities, and keep acknowledgment.
- Register an unresolved grievance. Use the official Passport Seva channel with the file number, chronology and requested relief. Keep the complaint reference.
Consult the official grievance information and contact page. The general helpline is 1800-258-1800. A complaint does not substitute for necessary documents or verification.
Check your own RPO’s current dealing hours and appointment arrangements. The Bhopal RPO information is one regional example; another office can have different arrangements. Observe the deadline in your hold notice. Understand the existing file before repeatedly applying again and paying more fees. If travel or a visa deadline creates urgency, provide genuine evidence; it does not guarantee immediate issuance.
A short representation to adapt
Subject: File [number]—parent name discrepancy clarification. My [father/mother] is named [name A] in [document A] and [name B] in [document B]. The actual reason for the difference is [brief facts]. I request recording [correct name] in my passport. Please examine the enclosed records and comparison sheet and confirm acceptable proof and remaining formalities in writing. If this is a clerical correction, please consider the applicable instructions. Kindly acknowledge the submission.
This is a representation example, not an official affidavit. Do not post full passport or Aadhaar numbers in public forums. Send necessary information through a verified official channel.
Frequently asked questions
Must I always correct the Class 10 certificate first?
Not necessarily. Identify the specific deficiency and acceptable evidence. If an incorrect record must be corrected for your case, follow the issuing authority’s process.
Will an affidavit secure immediate approval?
No. Acceptance, remaining documents and verification determine the outcome.
Should I file a fresh application to hide an error in my old passport?
No. Disclose the existing passport and use the applicable correction/re-issue category.
Are adult and minor applications identical?
No. Consent, guardianship and family circumstances can introduce separate requirements for minors. See our child passport and parental consent guide.
Can I walk into the RPO and get the file cleared that day?
Do not assume that. Check the office’s current appointment arrangements and your file instructions.
Our advice
Identify the discrepancy, gather proof of the correct name and obtain the written hold reason. Clarify the need for an affidavit or Gazette before spending money. A concise comparison and factual representation help the authority assess the case; approval rests with the Passport Issuing Authority.
